What your AI employee can do here

Available now

  • Search your inbox

Read only, no approval needed. Also used by the morning briefing to list unread mail. Reads the sender, subject, date and Gmail's short preview, not the full message.

  • Read a full email or thread

Read only, no approval needed. Reads up to the 20 most recent messages and 50,000 characters of a thread, and says so when a long thread is cut short.

  • Reply in the same Gmail thread

Waits for your approval until you trust the employee. You ask in Chat. The reply goes to the last person who wrote, inside the same thread, and always waits for your approval. Never bulk: 10 recipients at most.

  • Check when you're free

Read only, no approval needed. Also used by the morning briefing and meeting-prep automations.

  • Read the details of your meetings

Read only, no approval needed. You ask in Chat ("what's on my calendar Thursday?"). Meeting prep still shows busy times only.

  • Book a meeting on your calendar

Waits for your approval until you trust the employee. You ask in Chat with a time; Google emails the invite to the lead.

  • Move a meeting or add guests

Waits for your approval until you trust the employee. One meeting at a time; for a repeating meeting, only the one you name changes. Google emails the guests.

  • Cancel a meeting

Always waits for your approval. Always waits for your approval, whatever the employee's level. Google emails the guests.

  • Answer a meeting invite

Waits for your approval until you trust the employee. Accept, decline or maybe, for an invite on your calendar.

Coming

  • Pick up new leads that email you

    Read only, no approval needed.

  • Label and file emails

Waits for your approval until you trust the employee. Needs an extra Gmail permission PW does not ask for today.

  • Leave a draft reply in your Gmail

Drafted for your approval. Nothing is sent: you review and send the draft in Gmail. Needs an extra Gmail permission PW does not ask for today.

  • Send an email from your Gmail

Waits for your approval until you trust the employee. New email goes from PW's sending service today. Only a reply in a Gmail thread goes from your Gmail.

How to connect

  1. Open Workspace → Connections.
  2. Choose Google and press Connect.
  3. Sign in to Google and approve the permissions PW asks for.
  4. Use the Google account whose calendar your AI employee should work with.
  5. To let employees search your inbox and reply in a Gmail thread, press Enable Gmail on the Google connection and approve Gmail access.
  6. Back in PW, choose what each AI employee may do with the connection.

Approvals and trust

Reading never needs your approval. Anything your AI employee writes or sends lands in Needs review first, and you approve it there. As you approve more of an employee's work you can trust it with a kind of work, and from then on that work runs on its own. Some actions, like public posts, always wait for you.

How employees earn trust

Limits

  • Connecting Google gives calendar access only. Inbox search and Gmail replies stay off until you turn on Gmail.
  • PW reads the sender, subject, date and Gmail's short preview of emails, not the full message, today.
  • New email goes through PW's sending service. A reply in a Gmail thread goes from your Gmail, after you approve it.
  • Meetings are booked on your main Google calendar only, and Google emails the invite to the guest.
  • Google limits how much mail one account may send per day and how often an app may call Gmail.

Questions

What can my AI employee do with Google today?

Check when you're free and book a meeting on your calendar when you ask in Chat. With Gmail turned on it can also search your inbox and reply in a Gmail thread when you ask, after you approve the reply. Your day, and unread mail when Gmail is on, also show in the morning briefing.

Can my AI employee send email without me seeing it?

No. A reply from your Gmail always waits for your approval, and email from PW's sending service waits in Approvals until you promote the employee.

Will it book or cancel meetings on its own?

It books only when you ask for a meeting in Chat, and the booking waits in Approvals until you promote the employee. It can also move a meeting, add guests or answer an invite when you ask in Chat, under the same approval rules. Cancelling a meeting always waits for your approval.

Does PW store my emails?

Not the full emails. When your employee searches your inbox in Chat, the sender, subject, date and Gmail's short preview of each email it finds are saved in that employee's chat history and sent to the AI model your workspace uses. The morning briefing saves the sender and subject of unread mail in chat history, and also posts them to Slack if you turned on Slack delivery.

What happens if I disconnect?

PW deletes its stored sign-in, and your employees can no longer read your inbox or calendar. Meetings already booked stay on your calendar, and inbox results already in chat history stay there.

Why does it say I need to reconnect?

Google revoked PW's sign-in. That happens if you changed your password, removed PW in your Google account settings, or your admin blocked the app. Reconnect to fix it.

Why does it say Google Calendar isn't turned on?

The Google account you connected has no Google Calendar, which happens with some Google Workspace and Cloud Identity accounts. Reconnecting won't fix it. Turn Calendar on for that account in Google, or connect a different Google account.

Security and disconnecting

What PW keeps
The connected account's name and ID, the permissions you granted, and the sign-in tokens Google issued. Never your password. Inbox search results (sender, subject, date and Gmail's short preview) are also kept in your employee's chat history.
Encryption
Tokens are encrypted with AES-256-GCM before they are stored and are only decrypted server-side at the moment an allowed action runs.
Disconnecting
Open Connections, choose the platform and press Disconnect. You can also remove PW's access from the provider's own app settings.
Deletion
Disconnecting deletes the stored tokens and switches off every permission for that account. Activity records stay in your audit log.
