Available now
Find deals
Read only, no approval needed. Answers questions like "which deals closed this week?" with each deal's stage, amount, close date and a link. Needs HubSpot connected after deals were added.
Look up a contact
Read only, no approval needed. Finds one contact by exact email and reads name, email and lifecycle stage.
Copy a lead's new stage into HubSpot
Runs the way you set it up. When a lead replies, PW writes the new stage into the contact's Lead Status right away, before you approve the reply. Only if you turned on Update contacts for that employee.
Add a new contact to HubSpot
Waits for your approval until you trust the employee. Ask in Chat. If a contact with that email already exists, nothing is added. You approve the new contact first unless the employee is fully trusted and this action is set to Run automatically under Tools, and the employee posts a link to it in Chat.
Log a conversation note on a contact
Waits for your approval until you trust the employee. Ask in Chat ("log a note on Priya: asked for a quote Friday"), or let PW add a note for each text or call your AI employee has with a HubSpot contact. You approve the note first unless the employee is fully trusted and Log notes is set to Run automatically under Tools, and the employee posts a link to the contact in Chat. Needs Log notes turned on; notes from chat also need Read contacts and deals to find the contact.
Create a follow-up task for your team
Waits for your approval until you trust the employee. Ask in Chat. The task can be tied to a contact and has a due date (tomorrow when you don't say). It is not assigned to a HubSpot user. You approve it first unless the employee is fully trusted and this action is set to Run automatically under Tools.
Move a deal to a new stage
Waits for your approval until you trust the employee. Ask in Chat ("move the Acme deal to closed won"). The employee matches the deal and the stage you name against your HubSpot pipeline and asks when more than one fits. Stage, amount and close date can change. You approve it first unless the employee is fully trusted and this action is set to Run automatically under Tools. Needs HubSpot connected after deals were added.
Coming
Update a contact's details as part of a task
Waits for your approval until you trust the employee. The update path exists, but no employee task creates one yet.
Look up a contact's company
Read only, no approval needed. Needs an extra HubSpot permission PW does not ask for today.
Pick up new contacts added in HubSpot
Read only, no approval needed.
Add a contact to one of your HubSpot workflows
Always waits for your approval. HubSpot's workflow API needs a Professional plan or higher.
How to connect
- Open Workspace → Connections.
- Choose HubSpot and press Connect.
- Sign in to HubSpot and approve the permissions PW asks for.
- Sign in as a HubSpot Super Admin or a user with App Marketplace Access, and pick the HubSpot account to connect.
- Back in PW, choose what each AI employee may do with the connection.
Approvals and trust
Reading never needs your approval. Anything your AI employee writes or sends lands in Needs review first, and you approve it there. As you approve more of an employee's work you can trust it with a kind of work, and from then on that work runs on its own. Some actions, like public posts, always wait for you.
How employees earn trustLimits
- PW reads, adds and updates contacts, adds notes and tasks, and finds deals and changes their stage, amount or close date. It does not touch companies, and does not create or delete deals.
- Deals need HubSpot permissions PW started asking for later. If HubSpot was connected before then, reconnect it under Connections to let your employee work with deals.
- Tasks are not assigned to a HubSpot user.
- Notes find the contact by phone number. HubSpot must have the number saved in international format (for example +13055550123) in Phone number or Mobile phone number.
- Notes cover texts and calls from the time HubSpot is connected and Log notes is on. Earlier conversations are not added afterwards.
- Lookups match one contact by exact email address.
- Stage updates go into the contact's Lead Status. HubSpot only accepts a value that exists as a Lead Status option in your account, so a stage with no matching option is skipped.
- HubSpot allows an app about 110 requests every 10 seconds per account, and 5 searches per second.
Questions
What can my AI employee do in HubSpot today?
When you ask in Chat: look up a contact by email, find deals ("which deals closed this week?"), log a note on a contact, create a task, add a contact, and move a deal to a new stage. It also copies a lead's new stage into the contact's Lead Status when they reply to your lead follow-up employee.
Will it change my HubSpot records without asking?
Only the Lead Status update, and only if you turned on Update contacts and deals for that employee. It runs when a reply is sorted, even while the reply itself waits for your approval. Notes, tasks, new contacts and deal changes you ask for in Chat, and the note PW can add for each text or call when Log notes is on, wait in Approvals until you approve them, unless the employee is fully trusted and that action is set to Run automatically under Tools. An action set to Off under Tools is never written. The employee reports the result, with a link, in the same chat.
Why didn't the Lead Status change in HubSpot?
PW writes its own stage name (for example, engaged or closed). If your Lead Status has no option with that internal value, HubSpot refuses the update and PW skips it. The update also needs the contact to exist in HubSpot with the same email.
Does it create contacts or deals?
It adds contacts when you ask in Chat. It does not create deals; it updates existing ones.
What does PW keep from HubSpot?
The account name and ID and the sign-in tokens. When you look up a contact in Chat, the contact's name, email and stage are saved in that employee's chat history and sent to the AI model your workspace uses.
What happens if I disconnect?
PW deletes its stored sign-in and stops reading or writing HubSpot. Changes already made stay in HubSpot. You can also uninstall the app in HubSpot under Connected apps.
Security and disconnecting
- What PW keeps
- The HubSpot account name and ID, the permissions you granted, and the sign-in tokens HubSpot issued. Never your password. Contacts you look up in Chat (name, email, stage) are also kept in your employee's chat history.
- Encryption
- Tokens are encrypted with AES-256-GCM before they are stored and are only decrypted server-side at the moment an allowed action runs.
- Disconnecting
- Open Connections, choose the platform and press Disconnect. You can also remove PW's access from the provider's own app settings.
- Deletion
- Disconnecting deletes the stored tokens and switches off every permission for that account. Activity records stay in your audit log.
